We take your privacy very seriously. Please read this privacy policy carefully as it contains important information on who we are and how and why we collect, store, use and share your personal information. It also explains your rights in relation to your personal information and how to contact us or supervisory authorities in the event you have a complaint.

We collect, use and are responsible for certain personal information about you. When we do so we are subject to data protection laws which apply across the European Union (including in the United Kingdom) and we are responsible as ‘controller’ of that personal information for the purposes of those laws.

It is Charity Buddy's policy to respect your privacy regarding any information we may collect while operating our website. This Privacy Policy applies to https://www.charitybuddy.org  and https://www.PetRehomer.org (hereinafter, "us", "we", “https://www.charitybuddy.org/" or “https://www.PetRehomer.org”). We respect your privacy and are committed to protecting personally identifiable information you may provide us through the Website/s. We have adopted this privacy policy ("Privacy Policy") to explain what information may be collected on our Website, how we use this information, and under what circumstances we may disclose the information to third parties. This Privacy Policy applies only to information we collect through the Website and does not apply to our collection of information from other sources.   

This Privacy Policy sets forth the general rules and policies governing your use of our Website. Depending on your activities when visiting our Website, you may be required to agree to additional terms and conditions.

 

Personal information we collect about you

We may collect and use the following personal information about you:

·       your name and contact information, including email address;

·       your personal or professional interests to enable us to connect you to a charity.

·       your professional online presence, eg LinkedIn profile.

·       Information about how you use our website, IT, communication and other systems

·       Information about your experience with animals or your pets if you are using our site to adopt or rehome a pet.
 

This personal information is required to provide the Charity Buddy service to you. If you do not provide personal information we ask for, it may delay or prevent us from connecting you with a charity or enable you to rehome or adopt a pet.

How and why we use your personal information

Under data protection law, we can only use your personal information if we have a proper reason for doing so, e.g.:

·       to comply with our legal and regulatory obligations;

·       for the performance of our contract with you or to take steps at your request before entering into a contract;

·       for our legitimate interests or those of a third party; or

·       where you have given consent.
 

A legitimate interest is when we have a business or commercial reason to use your information, so long as this is not overridden by your own rights and interests.

 Website Visitors 

Like most website operators, Charity Buddy collects non-personally-identifying information of the sort that web browsers and servers typically make available, such as the browser type, language preference, referring site, and the date and time of each visitor request. Charity Buddy's purpose in collecting non-personally identifying information is to better understand how Charity Buddy's visitors use its website. From time to time, Charity Buddy may release non-personally-identifying information in the aggregate, e.g., by publishing a report on trends in the usage of its website.   

 

Charity Buddy also collects potentially personally-identifying information like Internet Protocol (IP) addresses for logged in users and for users leaving comments on  blog posts. Charity Buddy only discloses logged in user and commenter IP addresses under the same circumstances that it uses and discloses personally-identifying information as described below.   
 

Gathering of Personally-Identifying Information 

Certain visitors to Charity Buddy's websites choose to interact with Charity Buddy in ways that require Charity Buddy to gather personally-identifying information. The amount and type of information that Charity Buddy gathers depends on the nature of the interaction. For example, we ask visitors who sign up for a blog to provide a username and email address.   

Security 

The security of your Personal Information is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security.   

Links To External Sites 

Our Service may contain links to external sites that are operated by us such as https://www.petrehomer.org whos privacy policy is here and some that are not operated by us such as Zoho. If you click on a third party link, you will be directed to that third party’s site. We strongly advise you to review the Privacy Policy and terms and conditions of every site you visit. We have no control over, and assume no responsibility for the content, privacy policies or practices of any third party sites, products or services.  Zoho Recruit is the main database that we use to store our volunteer and client records. Their privacy policy may be found here.  Other sites used from time to time may include Jotform, Hubspot and various donation and event management platforms.

Aggregated Statistics 

Charity Buddy may collect statistics about the behaviour of visitors to its website. Charity Buddy may display this information publicly or provide it to others. However, Charity Buddy does not disclose your personally-identifying information.   

Cookies 

To enrich and perfect your online experience, Charity Buddy uses "Cookies", similar technologies and services provided by others to display personalized content, appropriate advertising and store your preferences on your computer.   

 A cookie is a string of information that a website stores on a visitor's computer, and that the visitor's browser provides to the website each time the visitor returns. Charity Buddy uses cookies to help Charity Buddy identify and track visitors, their usage of and their website access preferences. Charity Buddy visitors who do not wish to have cookies placed on their computers should set their browsers to refuse cookies before using Charity Buddy's websites, with the drawback that certain features of Charity Buddy's websites may not function properly without the aid of cookies.

Although most changes are likely to be minor, Charity Buddy may change its Privacy Policy from time to time, and in Charity Buddy's sole discretion. Charity Buddy encourages visitors to frequently check this page for any changes to its Privacy Policy. Your continued use of this site after any change in this Privacy Policy will constitute your acceptance of such change.

 Registration as a “Charity Buddy Volunteer”:   

Upon registering to be a Charity Buddy Volunteer you are volunteering your skills and time to assist a charity and/or the team at Charity Buddy. As you opted in, you can opt out of this at any time, but please let the charity or the team at Charity Buddy know that you would like to and if you would like to use your right to erase. Your data will only be shared with a charity that will get in touch with you or with a member of the Charity Buddy administration team. If you do not want this data to be shared, please do not sign up for the scheme or contact our team at charitybuddyuk@gmail.com  and they will delete any data you have submitted.  

We will not retain your personal information for longer than necessary for the purposes set out in this policy.

If you are registered as a Charity Buddy volunteer, and you volunteer for https://www.PetRehomer.org you agree not to share any personal data of any enquirer, adopter or rehomer that uses the website to enquire, adopt or rehome a pet.

Your rights

You have the following rights, which you can exercise free of charge:

·       Right to be Informed 

o   This notice fulfils our obligation to tell you about the ways in which we use your information 

·       Right to Access 

o   You have the right to access a copy of the information we hold about you. This has been explained above  

·       Right to be Forgotten 

o   From 25 May 2018 you may ask that we erase all personal information that we hold about you. Where it is appropriate that we comply, your request will be fully actioned within 30 days 

·       Right to Rectification 

o   If any of the information that we hold about you is inaccurate, you can contact our Data Protection Officer  

·       Right to Object 

o   You have the right to object to: 

The continued use of your data for any purposes listed above for which consent is identified as the lawful basis for processing, i.e. you have the right to withdraw your consent at any time 

The continued use of your data for any purpose listed above for which the lawful basis of processing is that it has been deemed legitimate 

·       Right to Restrict Processing 

o   If you wish us to restrict the use of your data because (i) you think it is inaccurate but this will take time to validate, (ii) you believe our data processing is unlawful but you do not want your data erased, (iii) you want us to retain your data in order to establish, exercise or defend a legal claim, or (iv) you wish to object to the processing of your data, but we have yet to determine whether this is appropriate, please contact our Data Protection Officer. 

·       Right to Data Portability 

o   If you would like to move, copy or transfer the electronic personal data that we hold about you to another organisation please contact our Data Protection Officer. 

·       Rights Related To Automated Decision Making 

o   Currently we do not use automated decision making processes within our charity

·       Is The Processing of Information Likely To Cause Individuals to Object? 

o   Charity Buddy is not aware of any justifiable reasons that would constitute a legitimate reason for objecting or complaining about the way we process or control information 

·       How Long will Volunteer Information be Retained For? 

o   7 years following termination to ensure that our records are adequate. 

·       Right to Compensation 

o   GDPR gives individuals the right to compensation for damages caused by infringement of the Regulation from the data controller and / or the data processor

Other Terms and Conditions

Our Fees

Charity Buddy operates on a pro bono basis. Charity Buddy Volunteers are not permitted to seek any payment or fees for their services.

Liability

Charity Buddy shall not be liable under any circumstances whether in contract, tort (including negligence), breach of statutory duty, or otherwise for any loss, expense, damage, delay, costs or compensation (whether direct, indirect or consequential) which may be suffered or incurred by any charity or voluntary sector organisation (referred to as “the Client”) arising from or in any way connected with (i) Charity Buddy seeking a Volunteer for the Client (ii) the Introduction to or Engagement of any Volunteer by the Client (iii) the failure of Charity Buddy to introduce any Volunteer (iv) any act or omission of any Volunteer (whether wilful, negligent, fraudulent, reckless or otherwise).

The Client shall indemnify Charity Buddy against all liabilities, costs, expenses, damages and losses (including but not limited to any direct, indirect or consequential losses, loss of profit, loss of reputation and all interest, penalties and legal costs (calculated on a full indemnity basis) and all other professional costs and expenses) suffered or incurred by Charity Buddy arising out of or in connection with (i) the Client's breach or negligent performance or non- performance of these Terms (ii) Charity Buddy’s enforcement of these Terms.

Suitability Checks

Charity Buddy acts only as “Introducer” between the Client and the Charity Buddy Volunteer. As such, any due diligence and reference checking should be undertaken by the Client and/or Charity Buddy Volunteer before commencing any relationship. Any relationship is undertaken at the Client and Volunteer’s own risk. The Client should take steps to:

(a) ensure that the engagement would not be detrimental to the interests of either the Client or the Volunteer;

(b) ensure that both the Client and Volunteer are aware of any requirements imposed by law or by any professional body; and

(c) confirm that the Volunteer is willing to work in the position

Charity Buddy accepts no liability whatsoever for any acts whatsoever committed at any point before, during, or after the relationship, by either the Client or the Charity Buddy Volunteer.
